Six things decide your quote
Nobody can price a charter honestly without knowing these. If a company gives you a firm number before asking, they are either padding it or planning to revise it later.
Hours, not miles
Charter pricing tracks the time a coach and driver are committed to you, including the deadhead run to your pickup and back. A six-hour day trip and a six-hour wedding block cost about the same even when the mileage is nowhere close.
Vehicle size
A 56-passenger motorcoach costs more to run than a 20-passenger minibus, so filling the right vehicle beats booking the biggest one. If your headcount is borderline we will tell you which way is cheaper.
Season
February through April is peak across most of Florida, driven by spring training, convention season, cruise turnarounds, and wedding Saturdays. Summer is the softest window. The same trip can differ by a real margin depending on the date.
Distance and overnights
Anything crossing the state or running past federal driver-hour limits needs either a second driver or a built-in rest break, plus lodging for the driver. We plan that into the quote instead of discovering it on the road.
Day of week
Saturdays go first and price accordingly, especially in wedding and event season. A Thursday version of the same trip is usually the cheapest thing on the calendar.
How many stops
One pickup and one drop-off is the simple case. Three hotels, a school, and a parents lot is a routing problem, and multi-stop loops carry more planning time than a straight there-and-back.
What is in the number
The figure we send is the figure you pay. Gratuity and fuel are inside it, not added at the end, and the handful of things that sit outside it are listed here rather than buried in a contract.
- Driver gratuity, written into the contract up front

- Driver hours planned around federal limits, not squeezed
- Liability coverage at $5,000,000
- Tolls and parking, unless you ask us to fold them into the contract
- Driver lodging on overnight charters
- A cleaning fee of up to $200 if the coach is left with litter

A valid credit card authorization form stays on file to hold the reservation.
Payment in full is due 3 business days before departure.
Company check, cashier’s check, money order, or cash. Cards accepted with a 3% surcharge.

The fine print, unburied
- Food and drink on board need to be in the contract. Alcohol requires a damage deposit.
- Overnight trips need a written itinerary 7 days out so we can plan driver hours.
- You are responsible for your group and for any damage to the coach.
- Federal rules cap how long a driver can be behind the wheel, and we plan around them instead of hoping. Long trips get a second driver or a real rest break built into the quote, not discovered on the road.

Why do you not publish charter rates on the website?
Because a number on a page would be a guess, and guesses turn into arguments later. Charter cost moves with hours, vehicle, season, distance, and stop count, and a rate that ignores those is either padded to cover the worst case or too low to honor. We would rather send you one flat all-in figure for your actual trip, usually the same business day.
How much does it cost to rent a charter bus in Florida?
It depends far more on hours and season than on distance. The honest answer is that a school day trip, a wedding shuttle block, and a cross-Florida cruise run all price differently even at the same headcount. Send the date, the headcount, and the pickup and destination, and you get a real number back rather than a range.
What is included in the quoted price?
Driver gratuity and fuel, including any surcharge, are written into the contract up front. Liability coverage at $5,000,000 is standard. Tolls, parking, and driver lodging on overnight trips are the usual exceptions, and we will fold them in if you ask so the number on the contract is the number you pay.
Do you require a deposit?
A valid credit card authorization form holds the reservation. Payment in full is due three business days before departure. Company check, cashier’s check, money order, and cash are all fine, and cards carry a 3% surcharge.
What happens if we have to cancel?
Cancel seven or more days out and there is no fee. Between three and six days it is half the quoted total, and inside 72 hours it is the full amount, because at that point the coach and driver are committed and cannot be resold. Moving your date is free whenever we have an open coach.
Is a charter bus cheaper than everyone driving separately?
For most groups over about fifteen, yes, once you count fuel, parking, and the cost of arriving in pieces. Cruise groups see it most clearly, because a week in a port garage often costs more than a seat on the bus. We show the per-person math in the quote so you can check it yourself.
