Different camps, different distances, and a set of destinations that are mostly inland and mostly reached by roads that were not built with a 55-foot vehicle in mind.
That last point is the one worth raising before anything else. A great many camp properties in this part of Florida are approached by sand, shell or single-track roads with soft verges and low overhanging oaks. A full-size coach cannot always get to the parade ground, and the honest planning conversation is about where the vehicle can actually turn around, not just whether it can reach the gate. Sometimes the answer is a minibus; sometimes it is a coach with a drop at the property entrance and a short walk in.
The rest is paperwork and predictability. Youth organisations have their own transport requirements, and the certificates, DOT and MC numbers and driver screening evidence go out with the quote rather than being requested a week before departure. Camp season also concentrates into the same weeks for every troop and pack in the council, so the booking window is narrower than the calendar suggests.

When should we book for camp season?
As early as the dates are known. Camp weeks concentrate into the same part of the year across the whole council, so a large number of units want the same Friday afternoon and the same Sunday return.
