Daytona Beach’s conference business runs through the Ocean Center, and the geography around it is the thing that shapes every transport decision. The venue and the hotels delegates stay in are both on the beachside — the barrier island strip — while much of the road network, the highway access and the airport are on the mainland. Everything moving between the two sides crosses the Halifax River on a small number of bridges.
For a conference organiser that has a specific consequence. Shuttle loops between hotels and the venue are short in distance but exposed to bridge traffic, and they are running at exactly the times everyone else is moving. A loop timed on distance rather than on real conditions produces delegates who miss the opening session, which is the one thing a shuttle exists to prevent.
The other constraint is standing. Beachside hotel forecourts are frequently small, and a 55-foot coach cannot always use them. On a good number of these jobs the sensible vehicle is a minibus running a more frequent loop rather than a coach running an infrequent one, and that is a recommendation we would rather make at quote stage than have discovered by a driver at 7am.

Can a coach use our hotel forecourt?
Often not on the beachside strip, where entrances are small. Send the property and we will say whether a coach can use it or whether a minibus on a more frequent loop is the better answer.
Is a frequent small vehicle better than one large one?
For hotel loops here, frequently yes. Delegates experience a shuttle by how long they wait, not by how many seats it has, so more loops with a smaller vehicle usually feels like a far better service and fits the forecourts.
How is conference transport priced?
Driver hours rather than mileage, as one flat all-in figure covering vehicle, driver, gratuity and fuel. A continuous loop over a session window is priced as committed hours, not as a count of trips.
How far ahead should we book?
As early as the conference dates are set, and considerably earlier if they fall near a speedway event. Those weeks commit regional vehicle capacity regardless of what your own event needs.
